ERPCA helps you and your colleagues communicate and stay on task, so you can maximize productivity. We know you're eager to jump in, but here are a few steps that will help you understand exactly what we do.
Step 1 : Company Set Up in ERPCA.
For this, click on the “Set-up” in menu. A drop-down will come which has a “Company” tab. On clicking company, fill in all your company details under “Create New Company” as shown below:
Step 2 : ERPCA Configuration for your account.
Below is the list of few configurations which needs to be set before using ERPCA. To configure, click on “Setting” Menu (placed on the left of your name) in your super admin account. After making the changes, you need to click on “Save” button in the form.
Setting up Working Hrs: Here you need to set the working hrs for your company. This will be used when you would require any MIS from ERPCA for your resource performance analysis.
Setting Up Non-Working Days: Here you need to set the non-working days for your organization. This will be again used when you would require MIS from ERPCA.
Avg. Hrs/Day/Task: This setting will be used for Auto Hrs Allocation for any task in your account.
Task Initiation Mode: If this option is set to “Auto” then tasks will be automatically initiated on Task “Kickoff Date”.
Customer Identity: In Charted Accountant Practice, “Customer Management” is totally different from other practice. Here, one customer can have multiple identity for each department they are enrolled in your practice.
Let's assume customer 'X' is enrolled for VAT, Income Tax, Service Tax and Company law with your firm. But in his/her details in VAT can differ than his/her details in Income TAX and similarly for other departments. If Customer Identity option is set to "Department Details" then customer will be identified by their "Name Of Business" through-out the application else customer will be identified with their "Account Name" mentioned in ERPCA. "Name of Business" is set while you create/import your customer index in ERPCA. In ERPCA we allow you to maintain department wise files for all your customers. As an output you will get a complete organized "Customer INDEX" from ERPCA.
Bill Due Days: Here is your bill overdue days. I.e. After how many days, unpaid bills will be considered as “Overdue Bill”.
User Outgoing Email Configuration: Here, you can configure the SMTP details for all outgoing emails from your ERPCA account.
ERPCA default outgoing email: You can configure the ERPCA default email setting for all send and receive emails from your ERPCA account.
Notification Email Configuration: Here you can control the email notifications to corresponding users on activities like Create New User, Leave Application, Task Creation, Bill Creation, Payment Update, etc.

Steps to create a new User:
1. Login as Admin
2. Click on User
3. Click on Create New User button
(Rights can be given to other team members also to create new user)
First create the Partners (Creating at-least one partner is mandatory) Followed by Managers and Lastly the subordinates so that the Working under and reporting to can be properly defined which will create the hierarchy and organization structure accordingly.
Check mark enable login access and activate user and click on submit.
While creating, Managers working under and reporting will have the same partner's name.
While creating other profiles like employee, articles etc. working under will have the partner's name and reporting to will have the manager's name which is working under the same partner and if there is no manager/team leader concept which is followed, reporting to will have the same partner's name.
Here you can view ALL the count like Users disabled, with no task assigned, on leave and active.
Kindly note (Show only assigned customer and bill registers is a restriction which enables users to see only assigned customers and their billing).

IMPORT USERS
Import Users:
With the help of Import format, users can be imported into the system in bulk through Excel sheet.
Navigate To User's Menu
Click On Import Users
From the Click Here link, you can get the Excel file format for importing users.
Following are the instructions which needs to be followed while filling the Excel sheet.
First name, Last name Mobile Number Email ID and Gender is compulsory.
Every user should have a unique email ID and number-it cannot be repeated among the users.
Please fill the hierarchy wise data in the Excel sheet i.e. Start with Partner followed by Manager, Article, Employee, Receptionist, Accountant, HR
Columns reporting to – will have the manager's email ID and partner ID will have the partners email ID under which the user is reporting to and working under and if there is no manager/team leader concept same partners email ID will come in reporting to column
Do not use (') or (“) anywhere in the Import Sheet
Do not keep empty Spaces inside the cell value
Any changes in import format field like column head change field, hiding columns will lead to wrong upload of data. ERPCA will not be responsible for the wrong data upload.
The Excel File needs to be filled in the following manner. Upload only .xls file format.
After importing the Excel file, click on Confirm on the Preview page. All the users will get their password in the respective email ID.
Organization Structure:
It shows the Graphical representation of employees working under the organization. It's a Hierarchy. Here you can easily understand the respective user's reporting person and working under Partner.
To change the hierarchy, user profile needs to be changed first.
To view, go to Users from main menu ---> Click on Organization Structure button.
How to change the User Group Designation (Nomenclature):
Now, you can change the designation as per requirement, you can not add more apart from the seven role listed but only update the existing one.

User Access Matrix Control:
Now, ERPCA is giving you power to control the rights of module access for each user group in your organization.
